Documentation for all modifications made from standard Pingboard

Big West Rotaract has made a number of modifications to optimize the Pingboard platform for Rotaract

Single Sign-On

To promote adoption of the platform and maintain security of Directory data, BWR implemented a single sign-on integration that leverages Big West Rotaract's Google Workspace. SSO improves BWR’s security and efficiency by decreasing the number of login credentials they need to keep track of. All users can access Pingboard with one click as long as they are logged into their Google Workspace accounts, with no additional password required. Google Workspace uses the SAML 2.0 standard.

Terminology

Standard Terminology	BWR Customization	Notes
Employee	Member	Each user in Google Workspace is automatically added as a member to Pingboard, but access must be separately provisioned here. Once invited, accounts are linked through SSO.
Group	No change	Members have the ability to add & remove themselves from Groups. Groups are not synced to G-Suite and rely on member/admin updating for accuracy.
Location	Club	Members have the ability to add & remove themselves from Clubs Members may be affiliated to 1 club at a time. Clubs are not synced to G-Suite. Naming convention = "District Number - Club Name"
Department	District	Departments are used in the org chart hierarchy. Right now, the choice to display BWR Leadership & Advisory Council separately on the org chart means district numbers do not appear in their profile cards.

Profile Card

Within the Directory, Profile Cards can display 2 fields in addition to Name.

Currently these are Club & Email.

By default, Pingboard uses Job Title & Department, job title is not always up to date and is blank for many users (many members also may not have a district or club leadership role, or may hold multiple). Club naming convention is inclusive of Districts.

Custom Fields

2 additional fields have been added to member profiles.

Rotary Relationship

Members may select all that apply. The following options are currently available:

• Rotaractor

• Rotarian

• Interact Alumni

• RYLA Alumni

• Youth Exchange Alumni

Rotary Relationship is a searchable field. For example, using the Directory's built-in search function or the filters, you can identify all members who have reported being alumni of Interact.

Pronouns

Open-ended text field to allow members to list their preferred pronouns. Because the field is not limited to pre-set options, the field is non-searchable within the Directory's built-in search function.

Rotary ID #

Rotary International assigns every Rotaractor an unique identification number in MyRotary. This field is only utilized for Google Workspace accounts assigned to an individual.
